Cancelation and Refund Policy

We understand that climbing Kilimanjaro and going on a Tanzania wildlife safari can be a once-in-a-lifetime adventure for many people. However, these activities often require a substantial investment, including airfare, tour costs, accommodation, and travel insurance, which can make them more expensive than other popular vacation destinations.

Due to the significant investment involved, cancellation and refund policies are crucial considerations for many travelers. There’s always the possibility that unforeseen circumstances may arise, necessitating the cancellation or urgent postponement of the tour.

Why full refunds are not always possible

Many people wonder why a full refund isn’t always possible when they need to cancel their Kilimanjaro or safari adventure before it begins. We truly empathize with each customer whose plans change last minute, making it difficult for us to decline their request for a refund after we’ve guided them through the planning process and anticipated sharing in their joy here in Tanzania.

However, Prime Kilimanjaro isn’t solely responsible for your trip; there are numerous organizations crucial to its execution that we must compensate well before your arrival:

  • Hotels, Lodges, and Local Airlines: Many tours involve partner lodges and hotels, each with its own cancellation policies designed to protect their business. Therefore, obtaining full refunds from these partners can be challenging due to their financial commitments and operational considerations.

The same applies to the local airlines, which provide inland air flight services for our customers between Tanzania’s mainland, the islands, and some of the remote national parks.

  • Tanzania National Parks Authority: Entry fees for Kilimanjaro and safari parks are paid in advance and are non-refundable once processed to avoid trip delays.
  • Local Suppliers: We prepay for perishable supplies like food, fuel, medication, and water from local sources, along with gear checks and farm visits, all essential for your trip.
  • Team Support: Our dedicated team, including managers, reservation agents, expedition assistants, and supply teams, invests considerable time and effort to ensure your tour is seamless.

Cancelation fees

The amount of refund that we will be able to provide you with depends on the date when we receive your cancelation request. 

As of today, our cancelation and refund policy is as follows: 

  • 100 USD per person deposit is non-refundable regardless of the date of cancelation, though transferable to any other dates;
  • 10% cancelation fee if canceled more than 90 days before tour start;
  • 30% cancelation fee if canceled 60-89 days before tour start;
  • 60% cancelation fee if canceled 30-59 days before tour start;
  • 80% cancelation fee if canceled 8-29 days before tour start;
  • No refund if canceled 0-7 days before tour start.

* The Company reserves the right to cancel any tour at its sole and absolute discretion, without prior notification in instances where this is unavoidable. However, in that case the Company agrees to refund all monies already paid by the client. This shall be the Company’s sole responsibility to the client and no claim for any damages, howsoever arising, shall accrue against the company.
